How we built a CRM for a helpline-based charity to streamline and automate processes.
Helping a helpline
Abortion Talk is a small charity that supports people affected by abortion. When the team came to us, they were dealing with a lot of data, of varying types, spread across multiple places from spreadsheets and website forms, to donation platforms like Donorbox.
The aim of this project was to improve productivity by developing a system that could store all the data in a single place, as well as provide reporting insights so the team could improve its comms and fundraising processes.

The CEO of Abortion Talk knew exactly what they wanted their new CRM to achieve.
Automated integrations
Because data was stored in multiple places, we used Zapier to build fully-automated importing of data from Donorbox, Enthuse and Mailerlite, directly into the CRM (built on Monday.com).
Data accuracy
A big challenge for small teams that handle a lot of data is data accuracy and integrity. Our CRM solution normalised data on entry, avoiding duplication and segmenting in sensible ways.
Business processes
Abortion Talk wanted to manage corporate relationships, funding pipelines and crucially, needed to store its helpline data for the many calls they take each week. The new CRM provides a space for all this.
A key concern of the project was ensuring the CRM actually gets adopted into every day usage. Therefore, we ran a workshop that included an enrolment and adoption section, helping the team get clear on how to integrate the CRM into their working processes.
Process mapping in Miro
We ran a collaborative exercise with Abortion Talk to understand how data is not only procured but used by the team. Miro – an online workspace – enabled us to capture all functional requirements for how the CRM needed to perform.
We took our learnings from this and developed a technical specification for the project. Once the system was built, data was imported and the team were trained on how to use their new CRM system.
Matt and Nick were really valuable in helping us scope out our CRM needs, identifying a suitable platform and getting everything set up for us just right. We now have donor, volunteer and impact data available at our fingertips.
